Glossary of Terms 

  • Asset

    Any resource owned or controlled by an organisation that can provide future economic benefit or value.

  • Base Revenue

    The core or foundational income that an organisation generates on a regular basis. This can include funds from long-term contracts, subscriptions, or stable revenue streams that provide financial stability for the organisation.

  • Beneficiary

    A person or group who will benefit directly from the project or service provided by the organisation.

  • Charitable Company (Limited by Guarantee)

    A type of company structure commonly used by non-profit organisations, where the members are not personally liable for the company’s debts but still have responsibilities.

  • Charitable Incorporated Organisation (CIO)

    A legal structure designed for charities, which provides the benefits of limited liability while maintaining a charitable status.

  • Charitable Trust

    A trust set up for charitable purposes, where the assets are managed by trustees to fulfil the organisation’s charitable goals

  • Child Protection Policy

    A policy that provides guidelines on how to protect children from any form of harm or abuse, and how staff or volunteers should respond to child protection concerns.

  • Community Asset

    A resource or facility that is owned or managed by the community or a non-profit organisation, often aimed at providing social, recreational, or cultural benefits. These assets could include buildings, parks, or community centres.

  • Community Engagement Officer (CEO)

    A professional responsible for fostering relationships between an organisation and the community it serves. The CEO ensures that the needs, interests, and concerns of the community are represented and that public participation is encouraged in decision-making processes. In some cases, this role may be referred to as a Community Engagement Coordinator or Specialist.

  • Constitution or Governing Document

    A formal document that outlines the purpose, structure, and operational procedures of an organisation or charity.

  • Contingency Plan

    A plan outlining how an organisation will respond to unforeseen circumstances, such as receiving less funding than requested, or other risks that might affect the project’s success.

  • Environmental/Sustainability Policy

    A policy that guides the organisation on reducing its environmental impact and promoting sustainable practices, such as reducing carbon emissions, recycling, and conserving resources.

  • Equality, Diversity, and Inclusion Policy

    A policy that ensures the organisation promotes equal opportunities and diversity, ensuring all individuals, regardless of background, are treated fairly and with respect.

  • Expenditure

    The funds spent by the organisation on project-related costs, such as materials, staff salaries, and equipment..

  • Financial Commitments

    Obligations or reserves that the organisation has already set aside or committed for future use, often for a specific purpose or need.

  • Financial Reserves

    Funds that are saved or held back for future use, often as a safety net for unforeseen costs or to ensure the organisation’s long-term stability.

  • Funding Source

    An entity or organisation from which funding or resources are received, such as a government body, foundation, or individual donors.

  • Governing Body

    The group of individuals responsible for overseeing and making decisions on behalf of the organisation, such as trustees or board members.

  • Grant Application

    A formal request for funding from a donor or grant-making body, detailing the project's objectives, outcomes, and financial needs..

  • Health and Safety Policy

    A policy that outlines the organisation’s approach to ensuring the safety and well-being of staff, volunteers, and participants, as well as preventing accidents or health issues related to the project or activities.

  • Inclusivity/Accessibility

    The practice of ensuring that people of all backgrounds, abilities, and circumstances have equal access to services, opportunities, and environments. Inclusivity focuses on making spaces and programs welcoming for everyone, while accessibility ensures that physical, sensory, and cognitive needs are met for all individuals.

  • Income

    The money or resources that an organisation receives, often from donations, grants, or services rendered.

  • Indemnity Insurance

    Insurance that protects an organisation or individual from legal liabilities, including compensation claims, in case of accidents or incidents that occur during the project or activities.

  • Outcome

    The result or impact of the project, describing the benefits or changes expected for the target community or beneficiaries.

  • Profit/Loss

    The difference between income and expenditure; if income exceeds expenditure, there is a profit; if expenditure exceeds income, there is a loss.

  • Project Cost Breakdown

    A detailed list of all expected expenses for the project, including costs for materials, staff, equipment, and services.

  • Public Liability Insurance

    Insurance that covers an organisation in the event of damage to property or injury to members of the public arising from the organisation’s activities or events.

  • Quote

    A formal estimate provided by a supplier or contractor for a service or product, specifying the price and terms.

  • Registered Charity

    An organisation that is officially recognised by the charity commission or a similar regulatory body, allowing it to access certain benefits, including tax exemptions.

  • Restricted Reserves

    Funds set aside for a specific purpose or project, which cannot be used for anything else unless the restriction is lifted.

  • Retrospective Work

    Work that is completed after the fact, typically referring to tasks or activities that were not initially planned or funded in advance. In grant applications, this may refer to projects or costs that have already been incurred before the grant application was submitted.

  • Safeguarding Policy

    A policy designed to protect vulnerable individuals, especially children and young people, from abuse or harm within the organisation’s activities.

  • Sustainability

    The ability of the project to continue functioning effectively over the long term, either through ongoing funding, community engagement, or other resources.

  • Unincorporated Association

    A group of individuals working together for a specific purpose, typically without legal status or liability protection.

  • Ward

    A local government area or district, often used to identify a specific location or jurisdiction for projects or services within a community.
